Job Description:

The Loading Verification & Sealing Officer is responsible for physical verification of materials/boxes loaded onto trucks, ensuring 100% accurate counting, proper sealing of vehicles, and confirmation of loading integrity before invoice handover.

This role is critical in preventing theft, pilferage, shortages, and transit discrepancies by acting as the final physical control point during dispatch operations.

Key Responsibilities:

  • Physically verify and 100% count materials/boxes during truck loading as per loading slip and dispatch documents.
  • Remain present throughout loading, ensure no unsupervised material movement, and seal the truck in personal presence.
  • Verify and record seal number matching dispatch documentation.
  • Sign loading slip confirming complete, accurate loading and sealing.
  • Ensure invoice and dispatch documents are handed over only after sealing.
  • Immediately report any mismatch, damage, shortage, or suspicious activity.
  • Coordinate with warehouse, security, transporter, and dispatch teams.
  • Create and process GST invoices, delivery challans (including returnable material), and all dispatch-related documentation (road permits, export documents, etc.).
  • Execute order billing as per FIFO and resolve invoice discrepancies and adhere invoicing and material counting TAT.
  • Knowledge of GST compliance and support for audits.
  • Prepare dispatch and billing reports as required.
  • Handle invoices with high accuracy and efficiency, ensuring compliance with company SOPs, financial policies, and regulatory requirements.
  • Maintain discipline, vigilance, integrity, and adherence to loss-prevention controls during dispatch operations.

Required Qualifications:

  • Prior experience in warehouse, dispatch, logistics, or plant operations.
  • Experience in material handling, loading supervision, or security-related roles. Basic knowledge of dispatch processes
  • Minimum 3 Year in Dispatch area & SAP domain
  • SAP , Excel & Computer knowledge
