Job Description:
The Document Controller will be responsible for ensuring that all project documents are timely controlled, accessible, and current at all project locations. This role requires maintaining the accuracy of the Project Document Distribution Matrix (DDM) based on input from the Project Team and facilitating the flow of all project deliverables, both internally generated and contractor-provided.
Key Responsibilities:
- Ensure timely control, accessibility, and currency of project documents at all locations.
- Maintain the accuracy of the Project Document Distribution Matrix (DDM) based on input from the Project Team.
- Facilitate and coordinate the flow of all project deliverables, both internally generated and contractor-provided.
- Report progress on the completion of deliverables, issue look-ahead, and overdue reports.
- Comprehend and enforce the Document Management sections of Project Plans, Contract Coordination Procedures, and Purchase Orders.
- Confirm the accuracy of Master Document Registers (MDRs).
- Validate documents against the Project Electronic Document Management System and report inconsistencies to the IM coordinator for resolution with the contractor.
- Perform quality checks and metadata validation of contractor deliverables, initiate corrective actions, and report deficiencies to the Information Management Lead and/or IM coordinator.
- Maintain the Company Master Document Register (MDR) of internally generated deliverables.
- Assign document numbers and metadata to all project deliverables in the Project Electronic Document Management System.
- Actively participate in project meetings and anticipate Document Management needs.
- Assist the Information Management Lead and IM coordinator with the execution and final handover of project deliverables.
Qualifications:
- Experience in document control within the oil and gas, refinery, petroleum, or chemical industries.
- Strong understanding of plant maintenance.
- Proficiency in using Electronic Document Management Systems.
- Excellent organizational and communication skills.
- Ability to work collaboratively with project teams and contractors.
