Job Description (Process Associate):

We are seeking a detail-oriented and proactive Sales Order Management Executive with 13 years of experience in sales order and delivery order processing. The candidate will be responsible for accurate order entry, coordination with internal departments, managing delivery schedules, and handling order modifications to ensure seamless order fulfillment and customer satisfaction.

Key Responsibilities:

1. Sales Order Processing

  • Receive, review, and process customer sales orders in ERP systems (SAP/Oracle/MS Dynamics or similar).
  • Verify pricing, discounts, payment terms, and product availability.
  • Ensure order accuracy and compliance with company policies.
  • Generate order confirmations and share with customers.
  • Coordinate with sales, finance, warehouse, and logistics teams for smooth execution.
  • Maintain proper documentation and records of sales orders.
  • Monitor order status and proactively resolve discrepancies.

2. Delivery Order Processing

  • Create and process delivery orders as per confirmed sales orders.
  • Coordinate with warehouse and logistics teams for timely dispatch.
  • Ensure accurate shipment details including quantities, batch numbers, and delivery addresses.
  • Track shipments and update customers on delivery status.
  • Ensure compliance with dispatch timelines and service level agreements (SLAs).

3. Delivery Order Changes & Amendments

  • Process delivery order modifications (quantity changes, address updates, schedule changes, cancellations).
  • Validate change requests with relevant departments before execution.
  • Update ERP systems with revised delivery details.
  • Communicate changes effectively to customers, warehouse, and logistics partners.
  • Ensure minimal impact on delivery timelines due to changes.

4. Order Coordination & Customer Support

  • Act as a point of contact for order-related queries.
  • Handle customer complaints related to order processing and delivery.
  • Coordinate with internal teams to resolve issues promptly.
  • Maintain high customer service standards.

5. Reporting & Documentation

  • Prepare daily/weekly order status reports.
  • Track open orders, backorders, and pending deliveries.
  • Maintain accurate order and delivery documentation for audit purposes.

Required Skills & Qualifications:

  • Bachelors degree in Commerce, Business Administration, or related field.
  • 13 years of experience in Sales Order Management / Order Processing.
  • Experience working with ERP systems (SAP preferred).
  • Good understanding of supply chain and logistics processes.
  • Strong attention to detail and accuracy.
  • Good communication and coordination skills.
  • Ability to manage multiple orders and meet deadlines.
  • Proficiency in MS Excel and MS Office.

Preferred Skills:

  • Knowledge of invoicing and billing processes.
  • Understanding of GST/Tax documentation (if applicable).
  • Experience in manufacturing/FMCG/Distribution industry.
